What this guide covers

An order on Permitra is the working unit of a project: one country + service + number of candidates, with its own contract, its own payment schedule and its own invoices. This guide walks the full path in the portal at app.permitra.io — from the empty order form to a signed Service Order, the advance payment and your first candidates — and says why each step is there.

Before you start

You can place your first order straight after creating a Customer account; there is nothing to set up first. The contract is signed inside the order: on your first order you sign the Master Services Agreement and then the Service Order — two quick electronic signatures.

An account that has not yet verified its identity can hold one unpaid order at a time. To run several orders in parallel, verify your account once — it takes about five minutes.

Step 1 — Choose the destination

Open Orders → New order (or the New order button on Home) and pick the country where the people will work. If an open quota is shown for that country, it is a fixed lower price for a limited number of places — tap it to see the terms.

Step 2 — Choose the service

The service list shows only what is available in that country, each with its price, how long it usually takes and how long the permit is valid. Choose by the outcome you need: a work permit and a residence permit are different legal instruments, and switching service later means a new Service Order.

Some services, such as an embassy appointment, are also available on their own.

Step 3 — Set the number of candidates and see what you pay

Set the candidate count. The price per person drops as the group grows — All prices shows the full table. You do not need names yet: they come after you sign and pay the advance.

Wait for a group price is optional: your order joins a group that starts within a set time, and you pay less per person.

You pay shows the schedule for this exact order — an advance after signing and the rest after the authority's decision. Most of the fee is paid only once there is a result.

Step 4 — Review and submit

Check the destination, service, number of candidates, price per candidate, total, timeline and payment schedule. Optional add-ons — an embassy appointment, priority processing, a translation bundle — can be ticked here; they are billed separately once the order is created.

Tap Submit order. Nothing is charged at this point.

Why it matters: everything on this screen goes into your Service Order. A wrong number of candidates now means a contract to redo.

Step 5 — Sign the Service Order

The order page opens. The dark card at the top — Now — always tells you the one thing to do next. First it asks you to sign your documents: tap Open to sign.

The contract opens over the page. Before signing, check:

  • Your company details — as they should appear on the contract
  • Country, service and scope — exactly what you chose
  • Number of candidates — the places you can fill on this order
  • Total price and payment schedule

Tap Next Field to jump to the signature box, sign and confirm.

Why it matters: the Service Order fixes the price, the scope and our obligations to you. Contracts are in English, and the English text is the one that binds. Signatures are handled by Documenso; under eIDAS (Art. 25) an electronic signature cannot be denied legal effect just because it is electronic, and every signed document keeps an audit trail of who signed and when.

Payment unlocks as soon as you sign. Massive Dynamic Limited countersigns, and the executed contract is filed under Documents → Signed.

Step 6 — Pay the advance

The Now card changes to Pay the advance — work starts as soon as it arrives.

The payment sheet shows the amount, who you are paying (Massive Dynamic Limited, the operator of Permitra) and the payment reference. Choose how to pay:

  • Card — instant; Visa, Mastercard or Amex, with a 5% card fee. Card details go straight to Stripe and never reach Permitra.
  • Bank transfer — 1–3 working days, no fee from us. Our account details and the reference are shown in the app; after paying, tap I've made the payment and upload the bank's confirmation so the payment is matched faster.
  • Crypto (USDT, USDC) — instant, via Performa, no fee from us.

Always pay from the payment sheet in the portal. We never send payment details by WhatsApp or e-mail; if anyone asks you to pay somewhere else, check it first at app.permitra.io/verify.

Step 7 — Add your candidates

With the advance paid, the Now card says Add your candidates. For each person, tap Add candidate:

  1. The first screen lists the documents this service needs — passport, diploma and so on, each with its requirements.
  2. Tap Choose files and add the scans or photos, then Smart fill — the details are read from the documents for you.
  3. Check every field against the passport. The blue band means these details go to the authorities of the destination exactly as you enter them.

Why it matters: the authority rejects an application with a missing or wrong document, and the visa officer compares every name, date and number with the passport. A single different letter delays the case and can end in a refusal. Files go over an encrypted connection to private storage, and every opening of a candidate's document is recorded in its access list.

Step 8 — Follow the order

The Now card always shows the next step. All 5 steps and who acts shows the whole journey:

  1. Contract & advance — you sign the Service Order and pay the advance.
  2. Document check — we check every candidate's documents before anything is submitted; you may be asked for a clearer copy.
  3. Authority decision — the file is submitted and the authority reviews it. This part is the authority's decision and outside our control.
  4. Approval documents — once a decision is in, you pay the second stage and receive the approval documents.
  5. Visa & travel — the final stage is paid and the originals are sent for the visa; the embassy decides on the visa.

You are notified by e-mail — and WhatsApp, if you connected it — whenever something needs you. Invoices and receipts are under Payments; signed contracts, invoices and documents from us are under Documents.

Adding candidates to a signed order

A signed Service Order fixes the number of candidates. To add another person you do not need a second order: on the order's People tab, under Need another candidate?, tap Add another candidate and enter the name.

  1. Your manager confirms the price — your existing volume rate is kept.
  2. You sign a short Order Increase Addendum.
  3. You pay the additional advance, and the candidate joins the order.

The original order keeps running throughout; candidates already in progress are not affected.

Common questions before your first order

Can I run several orders in parallel? Yes, once your account is verified. Each order has its own Service Order, payment schedule and invoices.

Is anything charged when I submit an order? No. The advance is due only after you sign the Service Order, and you choose when and how to pay it.

Who can see my candidates' documents? Every opening of a candidate's document is recorded, and you can see who opened it and when on the candidate's page.

How do I know a payment request is genuine? Pay only from the payment sheet in the portal. Every invoice, receipt and contract carries a verification code you can check at app.permitra.io/verify, together with any phone number or e-mail address that claims to be us.

The portal describes the process; permit and visa decisions are made by the authorities.
